1. Notification of Collection of Personal Data

Dentli assists dental clinics in connecting with new and existing customers. We operate a professional call center with specialized knowledge of dental clinics, ready to schedule customer appointments when dental assistance is needed. Dentli assists with both phone calls and online bookings, providing ongoing follow-up for active customers.

When you book a dental appointment via Dentli, we process your personal data on behalf of the clinic you wish to contact (“the Clinic”). Dentli processes your personal information as described in this privacy notice.

You are not obligated to provide this personal information. The consequence of not providing the personal information will be that we cannot schedule an appointment for you.

2. The Clinic is the Data Controller – Dentli is the Data Processor

The Clinic you wish to book an appointment with is the data controller for your personal data. Dentli processes your personal data on behalf of the Clinic and is therefore the data processor.

3. Purposes and Legal Basis for Processing Your Personal Data

We process your personal data for the purpose of booking dental appointments and communicating with you on behalf of the Clinic, where you are a customer. We only collect the information necessary for you and the Clinic to be in contact regarding visits and dental treatments, and only with your consent.

Dentli has entered into a data processing agreement with the Clinic, and our data processing is based on the Clinic’s legal basis for processing your personal data.

When you, as a new customer, book an appointment through the Clinic’s website or via a campaign page, the legal basis for processing is your consent (GDPR art. 6, stk. 1, litra a). When you provide your CPR number when booking, the legal basis is the Danish Data Protection Act §11, stk. 2, litra a, as the Clinic is required by law to use your CPR number for your medical record. When you are already a customer of the Clinic, the legal basis is the performance of your contract with the Clinic (GDPR art. 6, stk. 1, litra b), or the Clinic may be obligated to contact you according to the law (GDPR art. 6, stk. 1, litra c).

If the contact with you includes information about your dental treatments, the processing of this personal data is based on GDPR artikel 9, stk. 2, litra a regarding consent when you have chosen to be a customer of the Clinic.

We may also process your personal data when the legal basis is the balancing of interests rule (GDPR artikel 6, stk. 1, litra f), because the Clinic has a legitimate interest in maintaining its customer relationship with you, including through marketing. This is, for example, when we use your contact information to send a satisfaction survey to hear about your dental visit experience.

We use anonymized data to compile statistical information for customer retention, quality assurance, or business process development.

Dentli sends automated satisfaction surveys on behalf of the Clinic. For this purpose, an SMS system is used, where the automated logic obtains feedback from the patient about experiences, and in cases where the patient is partially satisfied or dissatisfied, the Clinic is notified. In case of high satisfaction, the patient is asked if they wish to submit a review on either Trustpilot or Google.

4. When Do We Collect Personal Data

If you wish to use the website to contact the Clinic, book an appointment, or seek information, we may collect personal data.

We collect personal data when:

  • You fill out a form
  • You use “Online Booking”

  • You write a comment

  • You create a user account on the website

We collect the information you share with us, as well as the content of messages you send to us, such as feedback and product reviews, or questions and information you provide to our staff. In principle, you can visit our website without registering. Data such as your IP address, visited pages, date, and time will be stored for statistical purposes, but they are not immediately linked to your person.

5. Categories of Personal Data

The extent and type of personal data we collect and process will depend on whether you are a new customer or already a customer of the Clinic.

When you book an appointment at the Clinic through our contact form, we collect the following personal data:

  • General personal data such as your name, address, email address, phone number.

  • Time, date, special needs, and any personal message.

  • Your IP address.

When you are a customer of the Clinic, we process the following personal data:

  • General personal data such as your name, address, email address, phone number.

  • Information about treatments when this is part of the communication with you.

  • Time, date, special needs, and any personal message.

  • Responses to satisfaction surveys.

6. Recipients of Personal Data

We collect your personal data on behalf of the Clinic, and we do not provide your personal information to others. When booking a dental visit, your personal data is recorded directly in the Clinic’s patient record system. This also applies to your CPR number.

Dentli stores your contact information such as name, email address, and phone number. We do this when it is agreed with the Clinic that we should help the Clinic contact you again.

Your personal data is stored with [our data processors for hosting and IT support], who store them on behalf of and according to instructions from us.

7. Transfer to Third Countries

As a rule, we use data processors in the EU/EEA, or who store data in the EU/EEA.

In some cases, this may not be possible, and data processors outside the EU/EEA may be used, provided they can provide appropriate protection for your personal data. However, this is only in connection with visit data on the website and will never relate to personal information such as CPR number.

8. Right to Withdraw Consent

You have the right to withdraw your consent at any time. You can do this by contacting the Clinic you are a customer of. If you have booked a dental visit and wish to change the time or cancel the visit, it is the Clinic that has all information about your booking in their system. Therefore, you should contact the Clinic.

If you choose to withdraw your consent, it does not affect the lawfulness of our processing of your personal data based on your previously given consent and until the time of withdrawal. If you withdraw your consent, it will only take effect from that time.

9. Your Rights

Under the General Data Protection Regulation, you have a number of rights regarding the processing of your personal data. If you wish to exercise your rights, you should contact the Clinic, which is the data controller. Dentli, as a data processor, must follow the Clinic’s instructions.

Right to access information (right of access)

You have the right to access the information that the Clinic processes about you, as well as a number of additional details.

Right to rectification (correction)

You have the right to have incorrect information about yourself corrected.

Right to erasure

In special cases, you have the right to have information about you deleted before the Clinic’s regular general deletion takes place.

Right to restriction of processing

In certain cases, you have the right to have the processing of your personal data restricted. If you have the right to have processing restricted, the Clinic may only process the information – apart from storage – with your consent, or for the purpose of establishing, exercising, or defending legal claims, or to protect a person’s important interests.

Right to object

In certain cases, you have the right to object to the Clinic’s otherwise lawful processing of your personal data. You may also object to the processing of your information for direct marketing purposes, after which the Clinic will no longer process personal data for marketing purposes.

Right to data portability

In certain cases, you have the right to receive your personal data in a structured, commonly used, and machine-readable format, and to have this personal data transferred from the Clinic to another data controller without hindrance.

11. Complaints

If you have any questions about the processing of your personal data or wish to file a complaint, you should contact the Clinic you are a customer of or where you have booked your initial dental visit. You also have the right to lodge a complaint with the Data Protection Agency if you are dissatisfied with the way we handle your personal data.
